Camera Ready Instructions

    This page contains information required for authors with accepted papers in order to prepare the camera ready version.

    Please complete the Six (06) steps outlined here and described in detail below before the camera ready deadline on May 5, 2023 .
    1. Add the appropriate copyright notice to your paper.
    2. Submit the final version to IEEE PDF eXpress. Note that the HotCRP website is for review only and the actual camera-ready version must be submitted via PDF eXpress.
    3. The first corresponding author will receive an email from IEEE with instructions to transfer the copyright to IEEE. Note that one author can sign the form on behalf of all co-authors.

    All final manuscripts should be written in English and must be formatted in standard IEEE 2-column format.

    • Accepted full papers are limited in length to ten (10) pages including figures, tables, and references. Any page over 10 pages will incur an overlength page charge of $200 up to a maximum of two extra pages.
    • Accepted short papers and workshop are limited to Six (06) printed pages including figures, tables, and references. Any page over 06 pages will incur an overlength page charge of $200 up to a maximum of two extra pages.

    Final papers can be prepared and submitted following easy steps:

      Step 1 - Prepare Your Final Paper
      • Paper must be written in English using the available LaTeX or Microsoft Word templates for A4 format. Formatting may not be altered. IEEE conference paper templates can be found here .
      • Prepapre the # of pages are required per paper in standard IEEE format.
      • Address all reviewers’ comments and revise your paper accordingly before submitting the final camera-ready version. Please make sure that all Figures and Tables are of high quality and their content is easily readable.
      • Please make sure also that your paper contains no headers, no footers, and no page numbers. This information will be added by the conference publication team.

      Step 2 - Add Copyright information to the first page of the paper
      • To include your accepted paper in both the conference proceedings volume and the IEEE Xplore digital library, one of the authors must fill and sign the IEEE copyright transfer form and return it to IEEE.
      • The appropriate copyright clearance code notice is to appear at the bottom of the first page of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding. The copyright notice should appear about 1 cm below the left column, and should be aligned to the left with the same left margin as the column.

      • The copyright notice to be added depends on the circumstances as follows:
        • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright

        • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3503-3902-4/23/$31.00 © 2023 Crown

        • For papers in which all authors are employed by the European Union, the copyright notice is 979-8-3503-3902-4/23/$31.00 ©2023 European Union

        • For all other papers the copyright notice is: 979-8-3503-3902-4/23/$31.00 ©2023 IEEE

      • Tips for Latex/Tex users for adding the IEEE copyright notice to your pdf:
        1. You may copy and paste the piece of code below into your source code file in the preamble, i.e, between the "\documentclass" and "\begin{document}" commands in your TeX file. Please substitute the copyright string for the one suitable for your publication.

      Step 3 - Check Your Final Paper
      • Add the copyright notice to the bottom of the first page of your source document.
      • If necessary, contact Yehan Ma for the appropriate copyright notice ( see "Adding IEEE Copyright Notice to your Paper" above).
      • Proofread your source document thoroughly to confirm that it will require no revision.

      Step 4 - PDF eXpress Compatibility of Camera-Ready Version
      • The final paper must be converted into PDF with settings compliant with the requirements of the IEEE Xplore digital library. To this purpose, the IEEE PDF eXpress web tool should be used. PDF files generated in a different way might not IEEE Xplore-compliant and could be rejected.

      • The instructions to generate an IEEE-Xplore-compatible PDF file using the IEEE PDF eXpress web tool are listed below:
        • Log in to the IEEE PDF eXpress TM site
        • Create your PDF eXpress Account:
          1. The first time you access IEEE PDFeXpress website, please follow the link in the bottom of the page “Create account”. Enter the following:
            • 58943X for the Conference ID
            • your email address
            • a password
          2. Continue to enter information as prompted.
          3. After logging in, please upload the source files of your camera-ready paper for conversion (e.g. DOC, DOCX, TEX and so on). Alternatively, you can also just check the compliance of your generated PDF file.
          4. After a few minutes, you will receive the IEEE-Xplore-compatible PDF version of your paper by e-mail. Alternatively, you can also download it from IEEE PDF eXpress.

        • Previous users of PDF eXpress
          • You need to follow the above steps, but should enter the same password that was used for previous conferences.
          • Verify that your contact information is valid.

      • Contacting PDF eXpress Support: Access the Publications Support Center for IEEE PDF eXpress.
        • If you do not find an answer in the Find Answers tab, go to the “Ask A Question tab.
        • Your question will be forwarded to IEEE PDF Support and answered within 3 business days.

      Step 5 - Transfer of Copyright
      • We use the IEEE Electronic Copyright Form to transfer the copyright for the publications.
      • For this, the first corresponding author will receive an email from IEEE. This email will provide the authors with a link to the online eCF wizard, as well as a unique login name and password to access their own copyright forms.
      • When an author completes the online copyright transfer process and submits the form, he/she will receive an automated confirmation email letting him/her know that the transfer has been completed successfully.

      Step 6 - Final paper submission
      • Submit the final version of your paper to IEEE PDF eXpress before the deadline of May 5, 2023.
      • Note that the HotCRP website is for review only and the actual camera-ready version must be submitted via PDF eXpress .
      • Please double-check the information that you provide during online submission:
        • title of the paper
        • name, affiliation, e-mail address of the authors
        • name of the corresponding author
        • complete mailing address.
        • phone and e-mail address of the corresponding author.
        • Registration must be completed to publish your paper.
